Variables mapping rules

This article explains variable mapping, which is essential for creating integrations, transferring contacts from external systems, and importing contacts from files. The process ensures that variables from external systems or files are properly matched to variables in the Wooxy Contact List, maintaining data integrity and enabling efficient data management.

Things to know before starting

  • Activation of the Ignore empty values checkbox to prevent existing data in Wooxy from being overwritten by empty cells during an integration or file import.
  • Automatic division of Date range fields from external systems into two separate variables: dateRange/Start and dateRange/End.
  • Requirement to match two separate variables for Monetary field types: the numerical value and the monetary/Currency.
  • Consolidation of Multiple options field types into a single variable value, where all selected variants are separated by commas.
  • Match variables

    • Variable Name - the original name of the field as it appears in the external platform or the header of the import file.
    • Preview - a sample value from the specific column to verify data accuracy during the mapping process.
    • Wooxy Column View - a selection of existing fields in the Wooxy Contact List, with the option to rename variables or create new custom ones specifically for this list.

  • Variable status indicators

    • Green dot - indicates a successful match between the variable and an existing field in the Wooxy Default Contact List. Selecting a different existing variable during mapping will replace the original field name upon import completion. Important! Avoid assigning the same variable to two different columns.
    • Gray dot - no automatic match was found, although the variable format from the integration or file is valid. Manual selection of the data format (String or DateTime) and an existing or new variable is required for the column to be included. Important! Unmatched variables will be excluded from the import.
    • Red dot - appears when the system fails to process a variable due to corrupted or malformed data, such as variable names containing spaces. Manual correction or replacement of the header is necessary to prevent the data from being ignored.

Step-by-step instructions

  • Start the mapping process by importing contacts using a file list or by integrating an external platform for contact transfer.

  • Map all necessary variables to those already existing in Wooxy, or create new variables as needed.

  • Click the "Import" button to proceed.

  • Wait for the validation and import process to complete.

  • Review the pop-up notification, which indicates either a successful contact addition or an error requiring resolution.

  • Click the "View contacts" button to verify all newly added contacts.
